Every feature, documented

Nothing is missing. This page describes what IHS Phone does, in plain language, with enough detail to compare it against any other system.

Handling calls

Everything a receptionist or office manager needs to direct calls, changed from a simple web page in seconds.

People, extensions and devices

Several devices per person, shared desks, sign-in by email

Each person has an extension and can use any mix of desk phone, cordless phone, computer app, mobile app and browser. People sign in with their work email, not a number they have to remember.

  • Shared desks: sign in at any phone and it becomes yours
  • Add a whole team from a spreadsheet; update many people at once
  • A lost phone or laptop is disconnected remotely

Auto attendant and phone menus

"Press 1" and spoken menus, a visual designer, menus drafted by AI, test mode

Build menus by dragging boxes, or describe them in a sentence and let the AI draft them. The system checks for dead ends and loops before anything goes live, and a caller can never get stuck going in circles.

  • Prompts in English and Spanish, recorded on a phone or generated from text
  • Preview with a pretend call at any time of day before publishing
  • Every change can be undone

Business hours, holidays and overrides

Open and closed hours, holiday calendars, calendar-driven routing, one-tap override

Route calls differently by hour, day and holiday. Switch to the closed greeting early with a code on the phone or a tap in the portal. Your Microsoft 365 or Google calendar can mark you out of office automatically.

Ring groups

Ring everyone, ring in order, ring the next person, fall back to voicemail

The front desk rings three phones at once, then the back office, then voicemail. Executives and assistants can share lines and answer for each other.

Park, pick up, page and intercom

Park buttons that light up, pick up a ringing phone from any desk, announce to a room or the whole office

Park a call, see which parking spot is taken on every phone, and pick it up anywhere. Page an area or the whole building; intercom opens the line with no ringing.

Forwarding, follow-me, do not disturb and call flip

Find-me sequences, caller ID per person, settings that stay in step between phone and portal

Turn on do-not-disturb from the phone or the portal and both agree. Move a live call from desk phone to mobile to laptop without a transfer.

Transfers, conference and spam screening

Transfer with or without announcing, three-way calls, block lists and spam scoring

Caller names come from your own directory first. Block lists, verified-caller checks and optional AI spam scoring keep robocalls away from your staff.

Hold music and announcements

Per company and per queue, uploaded or generated from text

Upload your own audio or type what you want said and pick a voice; preview before saving.

Queues and contact center

For billing teams, intake departments, dispatch and support: see who is waiting, answer in the right order, and measure it.

Call queues

Longest-waiting-first, round robin, ring all, skill groups, wrap-up time, position announcements

Agents sign in from a phone button, the computer app or the portal. Callers hear their place in line and can ask for a callback instead of waiting.

  • Estimated wait and position announcements
  • Callback that keeps the caller's place in line
  • Overflow to another queue, group, person or voicemail when the wait gets long

Wallboards and reports

Live dashboards, service level, abandoned calls, average handle time

Supervisors watch every queue live; managers receive daily, weekly and monthly reports by email.

Listen in, coach and join

Coach an agent mid-call without the caller hearing

Supervisors can listen quietly, speak only to the agent, or join the call.

Outbound calling campaigns

Preview and progressive dialing, leave a pre-recorded voicemail, do-not-call lists

Run recall, collections or outreach campaigns from the same queues; when a voicemail answers, your recorded message is left automatically.

Agent schedules

Shift plans and reports on who was signed in when they should have been

Know who was supposed to be taking calls and who actually was.

Voicemail and call recording

Messages you can read, recordings you can search, and a record of who listened.

Voicemail with transcript and summary

Secure-link delivery, folders, group broadcast, greetings by phone or from text

Every voicemail is written out and summarized in two lines. Notifications carry the summary and a secure link, never the audio file. Message-waiting lights stay in sync on every device.

Call recording with policy and consent

Always, on demand, incoming only, per person or per line; pause and resume

Recording announcements by state, caller opt-out that pauses recording, and automatic pause whenever a payment screen is open. Kept for as long as your policy says, then removed with a record of the removal.

Call summaries and search

A written summary of every recorded call, the mood of the conversation, outcome tags, follow-up tasks

Search what was said, not just who called. Sensitive details can be masked in the written version.

Voicemail drop

Leave a pre-recorded message on outgoing calls

Leave the perfect message every time without waiting for the beep.

Texting, cloud fax and notifications

Texting from your office number, faxes that sort themselves, and delivery to wherever your documents live.

Business texting

Two-way from desktop, mobile and desk app; group texts; templates; scheduled messages; tags

Patients and clients text the number they already know. Rich messages with pictures and buttons where the recipient's phone supports them. Every conversation is kept on record.

  • Automatic "sorry we missed your call" text, with different wording after hours
  • Automatic reply to texts that arrive when you are closed
  • Bulk texting to groups of patients or clients, with opt-out handled for you
  • A "text us" button for your website that captures the visitor as a contact
  • AI-drafted replies and message translation

Cloud fax with automatic sorting

Incoming faxes as secure links or filed to SharePoint, OneDrive, Google Drive, a secure folder or Teams; send from the portal, by email or from your software

Every incoming fax is turned into a searchable PDF and routed by what it says: referrals to the referral coordinator, lab results to the clinical inbox, records requests to medical records. Outgoing faxes retry on their own and give you a delivery receipt.

  • Shared voice and fax numbers detect fax tones automatically
  • Send a fax by email from approved addresses
  • Optional one-paragraph summary of each fax

Where things get delivered

Secure link (default), Microsoft Teams, SharePoint, OneDrive, Google Drive, your own cloud storage, secure folder, or your own system

Voicemail, recordings and faxes go wherever your workflow lives, and each delivery is logged.

One inbox

Texts, AI conversations, forms and requests in one place

Staff work one inbox instead of five.

Meetings, video and team chat

Collaborate inside the same app you call and text from.

Conference rooms

PIN and host controls, mute, record, dial out to participants

Rooms for each team, scheduled rooms, and a phone button that shows when a room is in use.

Video meetings and screen sharing

In the browser and apps, recorded to your own storage, with a written recap

Every meeting can end with a summary and action items.

Team chat

Direct messages, channels, files, mobile notifications

Internal chat with the same record-keeping as everything else.

Phones and apps

Desk phones in stock, phones that set themselves up, and apps on every platform.

Phones that set themselves up

Grandstream, Fanvil, Yealink and Poly; replacements ship same day

A phone shipped from Houston connects itself on first boot with your buttons, directory, time zone and security settings already in place. Assign a phone to a person from the portal and it is working in about two minutes.

iPhone and Android apps

Calls and texts from the business number, voicemail, fax, directory

Incoming calls ring the app even when it is closed. Personal numbers stay private.

Windows and Mac apps

Everything a desk phone does, plus a panel of busy lights and headset buttons

Six lines, park, pick up, paging, queue sign-in and wallboard, texting, fax and caller pop-up, with Jabra, Poly, Yealink and EPOS headset buttons supported. Installs cleanly on company-managed computers.

Browser app

Works in Chrome, Edge and Safari; installs like an app in one click

Nothing to install for occasional users; pin it like an app for daily ones.

Directories

Company and personal directories, Microsoft 365 and Google contacts, import from a spreadsheet

Shown on desk phones as a searchable directory and updated within a minute of a change.

Managing the system

A portal your office manager can run, with guardrails that make mistakes reversible.

Undo, recycle bin and rollback

Every change recorded with who, when and what; 30-day recycle bin; restore settings to any earlier point

A mistake is reversed from the portal in seconds. Important settings, such as your main incoming call route, can require a second person to approve a change.

Dashboards and scheduled reports

Calls, missed calls, texts, faxes, voicemails, per-person activity, device status

Daily, weekly and monthly reports by email; compare locations side by side.

Roles and permissions

Owner, administrator, manager, user, and a limited role for our support staff

Managers can rename people and reset PINs without being able to delete extensions or change security settings.

Call history you can follow

A timeline of every call: menu choices, time in queue, who was rung, transfers, voicemail, call quality

A complaint about a bad call is traced to the exact leg of the call in under a minute.

Status page and maintenance notices

Public status page with email and text alerts

You hear about maintenance from us before you notice anything.

Reminders, reviews and payments

Everything a practice-engagement service does, inside the phone system instead of beside it.

Appointment reminders and confirmations

Text, call and email sequences; replies understood; your schedule updated

Reminders go out on your schedule, replies are understood ("Y", "yes", "confirm", "reschedule"), and the appointment status updates in your system. Cancellations alert staff and can trigger "a slot just opened" texts.

Recall, reactivation and waitlist

Campaigns built from your own schedule

Fill gaps and bring overdue patients or clients back automatically.

Reviews

Post-visit review requests, Google and Facebook review monitoring, AI-drafted responses

Ask for the review while the visit is fresh and respond from one inbox.

Text-to-pay and online invoices

Card on file, payment plans, deposits; recording pauses on the payment screen

Send a payment link by text and watch it clear in the customer timeline.

Digital forms and online scheduling requests

Form builder with e-signature and PDF; kiosk mode; scheduling requests from your website

Intake, consent and update forms completed before the visit.

Customer profile and timeline

Calls, texts, faxes, voicemails, notes and payments in one view

Every interaction with a patient or client in one place, with one click into their record.

Email campaigns

Templates, AI writing, unsubscribe handled for you

Newsletters and announcements from the same contact list.

Numbers, 911 and billing

We own the phone lines, so numbers, emergency addresses and rates are all managed in one place.

Phone numbers

Search, buy, move and assign numbers from the portal; local, toll-free and vanity; caller-ID name

New numbers go live in minutes; number transfers are tracked to completion with no downtime at switch-over.

911 for every device

The right address for every phone and every app, including laptops and mobiles; instant staff alerts

Meets Kari's Law and RAY BAUM's Act. When 911 is dialed, dispatch gets the exact suite and floor, and your designated contacts are notified by text and email.

Backup routing

Two carriers behind every number; "if unreachable" forwarding to a cell phone or answering service

Even in the worst case, calls still reach a phone you chose.

Clear billing

Per-seat or per-minute plans, per-number and per-fax-page pricing, AI usage shown separately, invoices by email, QuickBooks sync

See exactly what each line costs. Customers will soon be able to buy and manage subscriptions online.

Verified caller ID

Your calls show as verified, not "Scam Likely"

Caller ID per person and per line, with rules you control.

AI in every area

One AI layer behind every feature, with the privacy guardrails regulated work needs.

AI receptionist

Answers naturally, works out what the caller needs, transfers, books, takes messages, hands off with context

Handles overflow, after-hours and simple calls; hands anything else to a person with a summary.

Written summaries, tags and search

Voicemail, recordings and live calls; mood and outcome tags; search in plain English

Private information is processed inside our own data centers unless you choose otherwise, and only under a signed agreement.

Live transcript, captions and translation

In the app during the call

Read along in real time, including translated captions.

Call flows and reports written for you

Describe a menu or a report in a sentence; approve the change before it goes live

Managers edit call flows by talking to the assistant; nothing is applied without a confirming click.

A platform that looks after itself

Problems detected, diagnosed and repaired automatically; anything significant waits for an engineer

Most issues are fixed before anyone notices.

Need something that is not here? Our connection options cover custom systems, and our engineering team builds integrations for customers every month.

See the whole platform in a 20-minute demo

We will walk through your call flows, compliance needs and phones, then show you exactly how IHS Phone handles them. No pressure, no scripts.
